Appointments

Offer bookable services, let customers request a time from your public page, and run the day from one calendar.

Schedules and public booking use the business timezone, including which slots have passed. Owners can change it and choose a 12-hour or 24-hour clock in Date & time settings.

Turn On Appointments

Open Appointments from the dashboard. Before it is enabled, the introduction card is centered in the page and shows what you can set up, and the sidebar keeps the main menu. Choose Set up appointments, then choose how clients book. Turning appointments on does not publish a booking page.

Choose How Clients Book

Pick I add appointments myself to record bookings you arrange by phone, message or in person; you land on the calendar. Pick Clients book online to go straight to booking settings, where you set up your services, booking locations and page design before publishing. Either way, Turn on appointments switches it on and the sidebar changes to the Appointments menu. Both use the same calendar, so you can add the other way later.

Loading Appointments

Dashboard pages show their heading and actions, such as the legend, share and Add appointment buttons, immediately, with loading placeholders for the data underneath. The public booking page shows your business profile and theme/language controls while services and locations load. Selecting a service already on screen opens the real booking layout at once, from the top of the page and without waiting on the server again: its name, cover and price, the step bar and a calendar that finishes loading in place. Calendar days show skeletons until availability for the displayed month arrives, including when you change months. Team cards also show skeletons while the selected date loads. Continue waits for the current step’s data; Back remains available. Failed requests offer Try again instead of suggesting dates are available or no team members exist. Loading content does not move the page.

Services

A service is what customers book, such as a 45-minute haircut. Services are separate from catalog items. Add one from Appointments → Services with a price, a duration (in minutes or hours) and the team members who perform it. The duration decides how long the calendar is blocked and which start times customers see.

Cover and Thumbnail

Each service can have a square thumbnail and a wide cover. Customers pick services by thumbnail; where the cover appears depends on your booking page template. Upload JPEG, PNG or WebP up to 10 MB and crop each image separately.

Set Up Online Booking

Appointments → Settings (More → Booking on mobile) walks you through five steps, one page at a time: Business profile, Bookable services, Booking locations, Page design, and Publish & share. Use Next and Back, or pick a step in the bar at the top; finished steps show a check, and the address bar remembers the page you are on. Step names, instructions and navigation follow your selected language throughout. Locations, design and publication save as you change them; moving between pages never publishes anything.

Business Profile Page

The first page is a checklist of what customers need to see: business name, short description, phone or email, and opening hours. Choose Complete business profile to fill in anything missing; saving it brings you back to the services step. Until the profile is complete, later pages show a reminder and nothing can go live.

You can save a partly finished profile at any time; only the business name is needed to save. If a field needs fixing, Save jumps to it and explains what to change. A website can be typed without https://. Opening hours set in the hours editor are applied to the form, then stored when you save the profile, and leaving with unsaved changes asks you to confirm first.

Bookable Services Page

The second page previews your services with links to add a service or manage them all. Review each service’s duration, team and location assignments before choosing booking locations.

Select each active location customers can book; selected cards are highlighted with a check. Each card counts the services bookable there (those available everywhere or assigned to that location) and warns when there are none. Inactive locations cannot be selected.

Booking Page Template

Focused (the default) keeps the service list clean with thumbnails and shows the cover once a service is chosen. Visual puts each cover on top of its service card so customers browse by photo. Services without a cover look the same in both.

Publish the Booking Page

The last page reviews every step, with an Edit shortcut back to each. The Booking page switch is what makes your page public; a selected location alone is not enough. Once it is on, the full page link appears below the switch: use its copy button to copy it or its open button to view the page. If your browser blocks copying, the link is selected so you can press Ctrl+C (⌘C on Mac). Turning it off hides the page without changing your locations or services.

Calendar

The calendar is your daily view. Dots mark busy days; pick a day to see its bookings with the customer, time, location and team member. Change a status straight from the list, or open a booking for its full record. Use the location switcher to change locations.

Add an Appointment

Choose Add Appointment, then pick a service, customer, location, team member, date and time. Only open slots are offered: they combine the service's team, each member's location access and their working hours. A member without hours shows Open schedule so you can set them first.

Tip: Appointments need a customer with both email and phone.

Approve Requests

Online booking requests wait above the calendar. Approving confirms the booking with the customer; declining asks for a reason they will see.

Statuses

Scheduled

A new request waiting for review.

Confirmed

Approved and sent to the customer.

Completed

The visit happened. Mark it done once it ends; you can correct the actual end time.

Declined, Cancelled or No-show

Declined was rejected with a reason, cancelled was called off, and no-show means the customer did not arrive.

Mark Completed Reminders

When a confirmed appointment reaches its scheduled end in your business timezone, owners receive an in-app reminder and your connected appointments Telegram chat receives the same invitation. Choose Open in app to mark completed, sign in if needed, and mark the visit done on its detail page if it took place. The Telegram button only opens the app; it never changes the status.

Reminders use the Completion notices switch and do not require automatic completion to be enabled. Without Telegram, the in-app reminder still arrives. To connect a chat, see Telegram Alerts. Failed Telegram deliveries retry while the appointment still needs completion; pending requests and resolved appointments are excluded. If automatic completion is enabled, the 24-hour fallback still applies.

Automatic Completion

In Appointments → Settings → Completion, below the booking setup, choose whether confirmed appointments are automatically marked completed 24 hours after their scheduled end in your business timezone. This is on by default and also applies to existing confirmed appointments. Pending requests, declined, cancelled and no-show bookings are left alone. Owners and team members with settings-management access can change this business-wide setting; changes save immediately. You can still complete appointments manually.

Completion Notices

Business owners receive an in-app notice 4 hours after automatic completion—normally 28 hours after the appointment ends. The notice opens the appointment and explains where to disable automatic completion or notices. The separate Completion notices switch is on by default; turning it off silences these notices and the end-of-appointment reminders without stopping automatic completion. Manual completions do not send these notices. Turning notices back on also delivers any still-pending notices for automatically completed appointments and reminders for ended appointments still awaiting completion. The delayed automatic-completion notice remains in-app only.

These controls are independent of booking page publication. The scheduler checks every minute, so changes and notices may appear slightly after the threshold.

History and Analytics

History lists past bookings and Analytics shows how the schedule is performing. Both share the same filters: a period or custom range, status, location and team member. Your choices stay in the address bar, so a filtered view can be bookmarked or shared.

Booking History

Bookings are grouped by date, newest first. Each row shows the service, its status, the time, the customer, the location and the team member. The info button explains every status; see also Statuses. Select a row to open it.

Booking Details

A booking page shows its date, time, status and the customer's note, with links to the location and customer, the team members assigned, and a timeline of every status change and who made it. Team members who may edit notes can add private staff notes that customers never see. Add to Google Calendar creates a timezone-aware event for the booking.

Analytics

The summary shows total, completed, open and missed bookings, the completion rate and the average duration. Below it, the booking trend fills missing days, and breakdowns show bookings by status, service, team member and location, each with how many were completed. Select a team member or location to open it. The same breakdowns appear in Reports.

Booking Page Traffic

Analytics also counts visits to your public booking page: human visits, page views and how many automated views were filtered out, with a daily chart. If traffic data is not available for your account, the panel says so and the rest of Analytics still works.

Telegram Alerts

In Appointments → Integrations, connect a Telegram chat to get new requests with Confirm and Decline actions. Open the bot and press Start to finish linking; the page updates automatically. You can refresh the status or disconnect the chat later. This connection is separate from online order alerts.

Customer Booking Page

Your public page opens with your business: the first photo from your business profile as a wide cover (or your brand colour when you have no photos), your logo on top of it (or your initials), then your name, description, opening hours and contact details. The page takes your brand colour for its buttons and accents. The theme and language buttons, and the location picker when you have several locations, sit on the cover and scroll away with it, so nothing stays pinned over the page. Tap the cover to see all your photos; more photos appear below it. The cover and gallery photos stay still on hover, without zooming. Then come the services bookable at the chosen location. Customers tap a service to start booking. Each service also has its own link you can share directly. Service cards gently change colour on hover or press, without lifting, zooming or moving their arrows. Keyboard focus adds a clear outline; reduced-motion preferences turn off the transition. Unavailable services stay muted.

Booking Steps

Each service has four booking stages: Date, Time, Details and Review. Opening a service never scrolls to the calendar. Continue and Back move keyboard focus to the new stage and scroll it to the middle of the screen, or to its top when it is taller than the screen. On phones, Back and Continue stay pinned to the bottom of the screen in a rounded bar. Your choices are kept when you go back.

Customers choose a date, a team member and an open start time, then leave their name, email and phone. Time choices, the review, confirmation and customer emails show only that booking time, not an end-time range. The service duration still determines availability and the time reserved on your calendar; adding the appointment to Google Calendar also reserves its full duration. With the Focused template they can tap the cover to see the full photo. The request then waits for your approval.
